How to schedule across time zones with friends (without doing the math)
"Let's do 7." Your 7 or mine? Planning with people in other cities turns every message into a conversion problem. Here's how to find a time across time zones without anyone getting it wrong.
Why time zones break group plans
- Conversion mistakes. One person converts wrong, and they show up an hour early or not at all.
- Daylight saving. Countries switch on different dates, so for a few weeks a year the usual difference between, say, New York and London is off by an hour.
- The overlap is narrow. Between Europe and the US West Coast, a comfortable time for everyone may be one or two hours a day. Proposing times one by one rarely hits it.
- "My evening" isn't "your evening". When the organizer only offers their own evening, the friends abroad get 3 am.
A method that works
- Offer a wide window. Don't limit the hours to the organizer's evening. A wider range, like 7 am to 11 pm, gives the overlap a chance to appear.
- Let everyone mark their own local times. People are good at knowing when they're free in their own time. They're bad at converting. So don't ask them to.
- Let the tool do the conversion. All answers are compared at the same moment in time, not the same clock reading.
- Announce the final time in everyone's local time, with a calendar link so phones handle it from there.
How whenfor.us handles it
Time zones are built in, not an afterthought:
- The organizer sets the days and hours in their own time zone.
- Every person who opens the link sees the grid in their own time zone, automatically. A friend in Berlin sees Berlin times; a friend in Denver sees Denver times.
- Anyone can flip the grid to the organizer's time zone with one tap, if they want to see it from that side.
- Daylight saving changes inside the date range are handled, because every slot is stored as an exact moment, not as a clock time.
- The final time is shown to everyone in their own local time, with a calendar file and a Google Calendar link.
Tips for finding the overlap
Use 1-hour slots for calls
For a video call, 1-hour slots make the narrow overlap easy to see. For a long online game night, use longer slots.
Rotate the inconvenience
If a group meets regularly across far-apart zones, someone always gets the early or late slot. Take turns: this month the morning call, next month the late one.
Watch the date line
Friends in Asia or Australia are often already in "tomorrow". Showing everyone their own dates avoids the "wait, Friday where?" moment.
