Band practice scheduling: find a rehearsal time the whole band can make

A rehearsal without the drummer is just a nice conversation. Here's how to find the slot when every member is free, around day jobs, gigs and rehearsal-room bookings.

Rehearsals need everyone

Most groups can meet with someone missing. Bands mostly can't. Practicing the new set without the bass player, or a choir section without its altos, isn't much of a rehearsal. And everyone is juggling day jobs, other projects and gigs, so finding a three-hour block for all of you takes more than a quick "who's free Tuesday?"

Find the slot in one round

  1. Make a link for the next one or two weeks, with the hours you can actually use, for example 6 to 11 pm, or set your own.
  2. Set the slot length to your rehearsal length, say 3 hours, under "More options". Everyone then marks real rehearsal blocks.
  3. Send it to the band. Members drag over the times they're free, from their phone, no account needed.
  4. Book the room for the winning slot. The best time is spelled out at the top. Pick it, share it, and everyone adds it to their calendar.

Tips for bands, choirs and ensembles

Check the room before you pick

If you rent a rehearsal room, look at its free slots, then pick the best time on the grid that also works for the room. The heatmap shows the second-best options too, so there's a fallback.

Plan around gigs

Before a show you may want two or three rehearsals. Make one link for the two weeks before the gig, and pick several of the strongest slots from the same grid.

Large ensembles

Up to 150 people can answer one link, so it works for a choir or a community orchestra too. The heatmap shows at a glance which rehearsal time gets the most members.

Write the details once

Add the rehearsal room address, what to prepare, or a link to the setlist as details when you make the link. Everyone sees it on the event page.
