Book club scheduling: pick the next meeting everyone can make
Choosing the book takes five minutes. Choosing the date takes two weeks. Here's how to settle your next book club meeting in a day, without a reply-all thread.
Why book club dates are tricky
Book clubs mix people who wouldn't otherwise share a calendar: different jobs, kids, shifts, and sometimes different cities. Meetings are also a few weeks out, so everyone answers "probably?" and the date stays fuzzy until the week before.
Settle the date in one round
- Make a link for the window you're aiming for, usually two to four weeks from now, after everyone has had time to read. Use "Pick dates" to choose it.
- Pick the hours your club usually meets, for example evenings from 6 to 10 pm, or weekend afternoons.
- Post it in the club's chat or email. Members tap the link, type their name and drag over the times they're free.
- Pick the best time and share it. The host decides, everyone can add it to their calendar, and the meeting has a date before chapter one is done.
Book club tips
Put the book and the host in the details
When you make the link, open "More options" and add details: the book, whose living room, or a video call link. Everyone sees it on the event page.
Use 2-hour slots
Most meetings run about two hours with snacks. Set the slot length to 2 hours, and the best time will be a full meeting block, not a sliver of an evening.
Hybrid or online clubs
If some members join by video from other places, the grid shows each person the times in their own time zone, so nobody has to translate "7 pm Eastern".
Schedule two meetings ahead
Clubs that stick together often fix the next date at the end of each meeting. Post the link while everyone is still there, and it takes a minute.

Can we schedule a meeting a month away?
Yes. Use "Pick dates" to choose any window of up to 31 days.
