A better way: ask once, see everything

  1. Make a link for the next week or two. "Evenings" is usually right for game nights, or set 6 pm to midnight.
  2. Post it in the group chat with a deadline: "Mark your free evenings by Wednesday."
  3. Watch the grid fill in. Each person drags over the evenings they're free. The darkest cells are the nights most people can make, and the best one is spelled out at the top.
  4. Pick the night and share the "It's on!" picture back in the chat. Everyone can add it to their calendar in one tap.

Decide the minimum number of players first

Some games need exactly four people. Others work with three to eight. Know your minimum before you look at the results, and you'll see more workable nights: the heatmap shows how many people are free on each evening, not only the perfect ones.

Keep the host in charge of the final call

Whoever made the link is the organizer and picks the final time. That small detail matters: the plan has an owner, and the moment they pick, the whole group sees it.
